Where Tidio fits

Choose the knowledge that is safe to answer

Delivery policy, product care and store hours can be suitable starting topics when the source material is accurate. Personalized order changes and unusual return decisions may need a person. Create a small approved answer set and identify its owner. An AI-enabled widget should not improvise a discount, promise stock or invent a delivery guarantee. The trial should distinguish information retrieval from decisions that require account access and commercial authority.

Measure the quality of the escalation

A chat that ends without a human is not automatically a successful resolution. Ask whether the customer obtained the correct answer and could continue the task. For escalations, preserve the original question and the relevant context so the person does not have to restart. Test an unavailable operator and an unresolved issue. A clear response expectation can be more useful than an enthusiastic automated message that implies help is immediate when the service desk is closed.

Keep the source current with the store

An outdated returns page can generate a consistently wrong answer. Assign a review trigger when shipping terms, products or promotions change. Sample conversations should be reviewed for errors and missing information, with a route to correct the underlying source. Tidio’s current product packaging should be evaluated against that maintenance work. The sustainable programme is one the team can keep accurate through an ordinary product launch and a seasonal support peak.

Worked scenario: A direct-to-consumer kitchenware shop

Routine care questions, delivery enquiries and occasional order changes. Test approved answers, an unknown question and an after-hours handoff. Review the accuracy and usefulness of the customer’s route to a resolution.

The deliberately unanswerable question

Ask about a policy exception that is absent from the approved source. The desired result is an honest boundary and the intended escalation. A confident invented answer is worse than a clear route to a person. Keep this question in the regression sample when the knowledge source changes. This is a proposed evaluation case, not a claim about measured performance of a particular Tidio configuration.

An updated store policy

Change a safe test policy and follow the authorized knowledge-refresh procedure. Record when the customer-facing answer should change and who verifies it. The store website, support notes and automated answer should not drift into different promises. A good widget experience depends on the source-maintenance routine as much as on the underlying conversational features. Include an ordinary product launch in that routine.

Resolution rather than silence

Review a sample of completed and escalated conversations. Ask whether the person obtained a correct answer and could continue their task. A visitor leaving the chat is not automatically satisfied. Combine the tool’s current report definitions with sampled outcomes and service feedback. This keeps the business from optimizing an automation metric while unresolved questions merely move to email or the phone queue.

Six acceptance checks

These checks turn the buying discussion into something reviewable. Ask the vendor or implementer to demonstrate them in the intended package and connection. Record an unknown as an unresolved requirement rather than silently assuming the feature behaves as desired.

CheckWhat to demonstrateKeep as evidence
Approved answerAsk a question whose answer is explicitly present in the approved source.A dated observation with the relevant record or output and a named owner for any exception.
Unknown answerAsk about a policy exception that should reach a person.A dated observation with the relevant record or output and a named owner for any exception.
Order authorityCheck that the workflow does not promise unauthorized order changes.A dated observation with the relevant record or output and a named owner for any exception.
Handoff contextVerify the operator receives the customer’s original question.A dated observation with the relevant record or output and a named owner for any exception.
Closed hoursRead the customer’s actual expectation when the desk is unstaffed.A dated observation with the relevant record or output and a named owner for any exception.
Source updateChange a safe test policy and verify the intended knowledge refresh procedure.A dated observation with the relevant record or output and a named owner for any exception.
Proposed acceptance cases; verify them in your own selected configuration.

Follow the unresolved question

Define what the customer needs, which answers are supported and who has authority to decide an exception. Then test the question the ordinary route cannot answer. The customer should reach an honest boundary and a meaningful next step. A conversation ending without a person does not by itself establish that the problem was resolved.

Preserve context across the handoff. The next operator should see the original question, relevant history and any commitment already made. Check how the process behaves outside staffed hours. A clear, realistic response expectation is more useful than an automated promise that the business cannot fulfill. Keep important quantities, dates and commercial decisions subject to appropriate confirmation.

Maintain the source information and the operating map. When a policy, product or staffing arrangement changes, review the affected answers and routes. Use sampled outcomes alongside workload reports. The aim is a more dependable customer experience, including the difficult cases, rather than merely a larger count of handled calls or automated conversations.

Pricing: build a comparable quote

Quote service seats, conversation or automation allowances and the selected AI scope. Add knowledge maintenance and escalation work.

Check the current official pricing and package information. Record currency, billing term, usage assumptions and the capabilities included in the actual offer. A monthly equivalent shown for an annual commitment should not be treated as the same cash commitment as a cancellable monthly plan.

A worked cost example

The figures below are deliberately hypothetical planning inputs, not Tidio prices, measured results or a forecast. Replace every input with the business’s quote and observed costs. This example is designed to expose the break-even question before a subscription decision.

InputIllustrative assumptionInterpretation
Monthly process cost increase$240The quoted software difference plus ongoing maintenance.
Time genuinely avoided10 hoursExclude work merely shifted to a different employee.
Loaded hourly value$30Use an appropriate internal cost assumption.
Illustrative capacity value$30010 × $30; this is capacity, not automatically cash saved.
Difference before other effects$60Include any new review, exception or transition costs.
An operating-capacity example, not a product performance benchmark.

If the process avoids only six hours, the same assumed hourly value produces $180 of capacity against $240 of added cost. That does not automatically make the tool unsuitable: better accuracy or customer continuity may matter. Record those benefits separately and explain their evidence. Do not count time as both avoided labor and extra revenue unless the business has a defensible reason for both.

Count the first month separately from steady operation. Cleanup, configuration and training can make the first period expensive even when the ongoing routine improves. Conversely, a quick initial setup can hide a recurring manual repair. Keep the assumptions, observation period and responsible owner with the decision so someone can revisit it when volume or scope changes.

Tradeoffs and reasons to pause

  • A resolved-conversation metric needs a definition tied to customer outcomes.
  • The selected live-support, automation and AI products can have different allowances.
  • This article does not claim measured AI accuracy or completed product testing.

Choose the current process if it already meets the acceptance cases at a lower total operating cost. A new subscription is justified by an improvement the team can explain and maintain. Keep unresolved requirements visible in the decision, especially where a connected product or a person’s manual work is required to complete the route.

A bounded pilot you can run

Use a controlled configuration and records the business is authorized to handle. The sequence below is an evaluation plan; it is not a claim that GridVero performed these tests or obtained these outcomes.

StageWorkEvidence to retain
DefineWrite the customer or operator outcome: Help a website visitor get an accurate answer and reach a person when the answer needs judgment. The intended scope, current baseline, owner and stop condition.
PrepareUse the scenario described above and select a representative sample. The source records, approved wording and identifiers needed to reconcile the result.
RehearseRun the six acceptance checks in this guide before expanding the audience or scope.A short record of observed behavior, unresolved questions and configuration assumptions.
ReviewAsk a colleague to explain one ordinary case and one exception without the original implementer. The final decision, remaining limitations and the next review date.
The pilot is complete when its evidence supports a decision, including a decision to keep the current process.

Pause the pilot if a material customer promise is wrong, records cannot be reconciled or the team cannot identify an accountable next action. Fix the underlying cause before treating a larger sample as progress. An inconclusive result can be useful: it may show that the business lacks a stable baseline, the intended integration is not yet understood or the operating problem was defined too broadly.

Questions before you decide

Is this a hands-on product test?

No. This is a research-based guide. We checked public official product and commercial information and developed original operational scenarios. We have not claimed account access, measured performance, customer results or completed sample orders. The acceptance cases describe what the buyer should verify in the intended setup.

What would make the pilot a success?

For Tidio, the target is specific: Help a website visitor get an accurate answer and reach a person when the answer needs judgment. Retain evidence from an ordinary case and an exception. A colleague should understand the resulting record or output, the next action and its owner. A feature being present in a menu is insufficient evidence that the whole process works.

How should the business handle an unknown requirement?

Write it as an open item with an owner, a business consequence and a way to obtain evidence. Ask for a demonstration or written clarification before depending on it. If the requirement is essential, keep the decision conditional until it is resolved. Avoid filling a gap with assumptions taken from an old review or a different plan.

Does this site earn a commission?

Some products covered by GridVero have partner programmes. Current product buttons use direct official destinations. If an approved referral link is added later, the relevant commercial relationship must be disclosed and the link marked appropriately. A commission does not establish product fit, account approval or a promised customer result.
