Where Unleashed fits

Stock value needs a traceable transaction

A quantity update can affect purchasing decisions and financial reporting. Before migration, agree the meaning of receipts, transfers, adjustments and returns. Keep the reason for each authorized change. In the Unleashed evaluation, trace a representative item from supplier order through receipt and sale, using the intended accounting boundary. The objective is not to make two reports display the same total temporarily. It is to understand which transactions created the total and which system is responsible for them.

Wholesale creates different availability promises

A direct store may sell individual units while a wholesale customer orders cases against a future delivery date. Product identity, units and commitments must remain coherent across those routes. Ask the team to demonstrate a partially supplied wholesale order alongside ordinary retail demand. Include a supplier delay. The person confirming the delivery date should see enough evidence to explain the promise without reconstructing stock from private emails and spreadsheets.

A controlled cutover is part of the purchase

Inventory software becomes risky when the business imports opening balances while stock continues moving without a reconciliation plan. Pick a bounded first scope, record transactions during the transition and agree who authorizes differences. Check the current product package, connected systems and implementation responsibilities in writing. A successful first month should leave the business with a smaller exception list and a repeatable reconciliation routine, not only a completed data import.

Worked scenario: A wholesale specialty-food brand

Retail units, wholesale cases and supplier lead times that change seasonally. Trace a partially received purchase and an urgent wholesale commitment through stock and accounting. Keep a counted opening-balance sample for reconciliation.

The retail-and-wholesale unit test

The food brand purchases or stores stock in one unit and sells it in another. Write the conversion rule and inspect a partial wholesale order. Follow the remaining commitment and the stock available for retail. A spreadsheet convention that people understand informally needs an explicit system representation. Test a correction as well as the initial transaction so the team knows how to recover from an incorrect unit entry.

A supplier delay with customer consequences

Move an expected receipt date and identify which customer commitments depend on it. The buyer, planner and salesperson should be able to discuss the same constraint. Record the agreed customer response rather than silently moving dates in the system. The operational value comes from an earlier, more accurate decision. A system that merely records the eventual late shipment has not solved the planning problem.

The opening-stock agreement

Count a limited scope and agree which transactions will be entered during the transition. Assign the person who authorizes adjustments and preserve their reasons. Reconcile the stock and intended accounting boundary before expanding the scope. An opening total without a history is difficult to defend when the first difference appears. The implementation should leave a repeatable routine that the business can continue after the consultant or project owner steps away.

Six acceptance checks

These checks turn the buying discussion into something reviewable. Ask the vendor or implementer to demonstrate them in the intended package and connection. Record an unknown as an unresolved requirement rather than silently assuming the feature behaves as desired.

CheckWhat to demonstrateKeep as evidence
Receipt historyFollow supplier order, partial receipt and the resulting stock change.A dated observation with the relevant record or output and a named owner for any exception.
Wholesale unitsSell cases while preserving the intended relationship to individual units.A dated observation with the relevant record or output and a named owner for any exception.

Trace a physical transaction

Begin with the actual movement of a product or parcel. Record its identifier, quantity, unit, location, state and the person authorized to change it. The software view should correspond to something an operator can verify. A counted sample and a transaction history provide stronger evidence than a dashboard total whose origin cannot be explained.

Inspect exceptions before trusting the ordinary route. A partial receipt, damaged return, cancellation or delayed carrier event tests the boundaries between systems. The operator should know where the failure appears, who acts and what information must be preserved. Avoid repairs that simply overwrite quantities or statuses without explaining the underlying event.

A stock or shipping project needs a transition plan. Reconcile the first scope, record movements during cutover and maintain a fallback for unresolved differences. Train the people who receive, pick, dispatch and answer customers. The process must remain understandable after the project owner leaves; the integration alone does not carry that knowledge.

Pricing: build a comparable quote

Quote the selected region, users, stock requirements, integrations and implementation. Include reconciliation and training effort in the first-year budget.

Check the current official pricing and package information. Record currency, billing term, usage assumptions and the capabilities included in the actual offer. A monthly equivalent shown for an annual commitment should not be treated as the same cash commitment as a cancellable monthly plan.

A worked cost example

The figures below are deliberately hypothetical planning inputs, not Unleashed prices, measured results or a forecast. Replace every input with the business’s quote and observed costs. This example is designed to expose the break-even question before a subscription decision.

InputIllustrative assumptionInterpretation
Monthly process cost increase$240The quoted software difference plus ongoing maintenance.
Time genuinely avoided10 hoursExclude work merely shifted to a different employee.
Loaded hourly value$30Use an appropriate internal cost assumption.
Illustrative capacity value$30010 × $30; this is capacity, not automatically cash saved.
Difference before other effects$60Include any new review, exception or transition costs.
An operating-capacity example, not a product performance benchmark.

If the process avoids only six hours, the same assumed hourly value produces $180 of capacity against $240 of added cost. That does not automatically make the tool unsuitable: better accuracy or customer continuity may matter. Record those benefits separately and explain their evidence. Do not count time as both avoided labor and extra revenue unless the business has a defensible reason for both.

Count the first month separately from steady operation. Cleanup, configuration and training can make the first period expensive even when the ongoing routine improves. Conversely, a quick initial setup can hide a recurring manual repair. Keep the assumptions, observation period and responsible owner with the decision so someone can revisit it when volume or scope changes.

Tradeoffs and reasons to pause

  • A more capable stock system still depends on reliable receiving and adjustment routines.
  • Confirm the fit for the real production and wholesale process rather than assuming every ERP-style need is covered.
  • A marketplace referral bounty is a partner term, not a customer discount or guaranteed payout.

Choose the current process if it already meets the acceptance cases at a lower total operating cost. A new subscription is justified by an improvement the team can explain and maintain. Keep unresolved requirements visible in the decision, especially where a connected product or a person’s manual work is required to complete the route.

A bounded pilot you can run

Use a controlled configuration and records the business is authorized to handle. The sequence below is an evaluation plan; it is not a claim that GridVero performed these tests or obtained these outcomes.

StageWorkEvidence to retain
DefineWrite the customer or operator outcome: Give purchasing, stock and wholesale commitments a more reliable operating foundation. The intended scope, current baseline, owner and stop condition.
PrepareUse the scenario described above and select a representative sample. The source records, approved wording and identifiers needed to reconcile the result.
RehearseRun the six acceptance checks in this guide before expanding the audience or scope.A short record of observed behavior, unresolved questions and configuration assumptions.
ReviewAsk a colleague to explain one ordinary case and one exception without the original implementer. The final decision, remaining limitations and the next review date.
The pilot is complete when its evidence supports a decision, including a decision to keep the current process.

Pause the pilot if a material customer promise is wrong, records cannot be reconciled or the team cannot identify an accountable next action. Fix the underlying cause before treating a larger sample as progress. An inconclusive result can be useful: it may show that the business lacks a stable baseline, the intended integration is not yet understood or the operating problem was defined too broadly.

Questions before you decide

Is this a hands-on product test?

No. This is a research-based guide. We checked public official product and commercial information and developed original operational scenarios. We have not claimed account access, measured performance, customer results or completed sample orders. The acceptance cases describe what the buyer should verify in the intended setup.

What would make the pilot a success?

For Unleashed, the target is specific: Give purchasing, stock and wholesale commitments a more reliable operating foundation. Retain evidence from an ordinary case and an exception. A colleague should understand the resulting record or output, the next action and its owner. A feature being present in a menu is insufficient evidence that the whole process works.

How should the business handle an unknown requirement?

Write it as an open item with an owner, a business consequence and a way to obtain evidence. Ask for a demonstration or written clarification before depending on it. If the requirement is essential, keep the decision conditional until it is resolved. Avoid filling a gap with assumptions taken from an old review or a different plan.

Does this site earn a commission?

Some products covered by GridVero have partner programmes. Current product buttons use direct official destinations. If an approved referral link is added later, the relevant commercial relationship must be disclosed and the link marked appropriately. A commission does not establish product fit, account approval or a promised customer result.
